The problem: the busiest moments are the ones you can't answer

Pawty Yoga's customers call and message at exactly the moments the owner can't pick up: during classes, during private parties, at night and on weekends. Every unanswered call was a family planning a birthday or a company planning a team event, and many of them simply called the next business on the list.

The setup

We built Vela a knowledge base of 120 answers covering classes, ages, private party options and pricing, waivers, payments, ticket transfers and the studio schedule. She went live on the website chat and the main phone line in April 2026, with rules for the things that matter most: never inventing a date or a price, never confirming a booking she can't see, and always taking a message when someone wants the owner.

Over time we added live ticket availability, so Vela can tell a caller exactly how many spots are left in a class, and automatic robocall blocking, which has blocked 57 spam numbers.

The results

  • 417 phone calls answered from 290 unique callers, with every transcript emailed to the owner.
  • 74 website chats, and 72 of those visitors left their email.
  • 59% of website chats arrived after hours or on weekends.
  • At least $3,700 in private-party bookings trace back to conversations with Vela, including a $1,350 party booked from a Saturday evening chat.
Every morning starts with a list of people who want to book, with what they asked and how to reach them.

What made the difference

Speed and consistency. Every caller gets the same accurate answer whether it's 9 AM or 11 PM, and the owner gets a clean summary instead of a voicemail that says "call me back." Leads arrive with context: what they asked, how they heard about the business, and the best way to reach them.
