FrontDeskReply ("we," "us," "our") builds AI receptionist software for small businesses. This policy explains what we collect, how we use it, and your rights.

1. Information we collect

Account data: email, business name, phone, billing address.
Usage data: conversations, FAQ knowledge base, widget embed locations, analytics events.
Visitor/lead data: when visitors chat with Vela on your site, we collect the name, email, and optional phone they provide, plus the full chat transcript.
Device & log data: IP address, browser, OS, timestamps.
Payment data: processed by Stripe — we do not store card numbers.

2. How we use it

Operate the chatbot and voice AI on your behalf.
Show your analytics dashboard.
Send essential service emails (receipts, security alerts, lead notifications).
Improve the product (aggregated, non-identifying).
Enforce our Terms and prevent abuse.

3. How we share it

With vendors who help us operate: Stripe (payments), Supabase (database), Anthropic / Claude (AI), ElevenLabs (voice), Twilio (phone). Each vendor only receives the minimum data required.
With your own business: leads captured through your chat widget go to your dashboard — that is the entire product.
When legally required (lawful subpoena, safety emergency).
Never sold to advertisers, brokers, or unrelated third parties.

4. Your choices & rights

Access, correct, or delete your data — email [email protected].
Export your leads/FAQs/transcripts from the dashboard at any time.
Cancel anytime — cancellation closes your account at the end of the current billing period.
California, EU, UK residents: you have additional rights under CCPA / GDPR — we honor them. Contact us.

5. Data retention

We keep account data while your account is active plus 90 days after cancellation, then delete it. Billing records are retained 7 years for tax compliance.

6. Cookies & analytics

The chat widget uses a session cookie to track an active conversation. The marketing site uses Google Analytics 4 for aggregate traffic measurement. No cross-site tracking cookies.

7. Security

Data is encrypted in transit (TLS 1.3) and at rest (AES-256). We use row-level security, strict IAM, and regular backups.

8. Children

FrontDeskReply is a business product not intended for anyone under 13. We do not knowingly collect data from children.

9. Changes

If we materially change this policy we will email the account owner. The effective date at the top always reflects the current version.
